DATA PROTECTION PRIVACY POLICY

The International Association of Hydrological Sciences Ltd, IAHS Ltd, is committed to protecting your personal information and will make every reasonable effort to handle collected information appropriately. IAHS Ltd complies with the laws and regulations that apply to the gathering and use of personal information as set out in the Data Protection Act 1998 and the General Data Protection Regulation (GDPR) introduced in May 2018.

What information do we collect about you?

Each individual member of IAHS is identified with a user email and password and whether or not they subscribe to the enews communication. When a member creates an online account the following data are collected: Title, Given and Family name, email address, Organisation, Address (address, city, state, country and postcode), telephone and fax number, area of interest within IAHS (IAHS Commissions and Working Groups).

We record interactions on our email newsletters (enews), such as opens and clicks, to help us measure the effectiveness of our communications with you. We may also collect anonymized information about how your device has interacted with the website(s), including pages accessed, visit dates and time, length of visits to certain pages, page interaction information, and referral source information.

How will we use information about you?

We collect information about you in order to deliver our products and services to you efficiently and accurately. We may contact you via email and enews regarding events or hydrology related news that we think may be of interest to you. If you have expressed an interest in an IAHS Commission or Working Group then your communication may come from an officer of the IAHS Commission or Working Group (https://iahs.info/Commissions--W-Groups.do).

We will never share your information with others outside IAHS without your prior consent. In case of any question please do not hesitate to contact us at info@iahs.co.uk .

The iahs.info website is hosted by Samui Design and Management Ltd and managed on a Virtual Private Server by Heart Internet.

The usage of cookies on the iahs.info website

To enhance the functionality of the website and in order to better understand and improve the user experience we do use cookies. Some cookies are left by Google Analytics that helps us understand how visitors use our website. No personal identifiable information is collected by Google Analytics.

Server log files

The iahs.info server is a virtual private server (VPS) which automatically collects and stores information in so-called server log files, which your browser automatically sends to us. This is common practice for most of the websites provided worldwide.

These server log files include: browser type and version, operating system,  referrer URL, host name of the accessing device, time stamp of the server request, IP address.

Is the transmission of my personal data secured?

All applications of the iahs.info that contain forms for entering, changing, or deleting personal data are protected with Cross-Site Request Forgery protection and all passwords are encrypted before being stored. All database submissions are validated before being accepted.

Accessing your information and preferences?

All personal data can be viewed or modified by the user at any time at:  https://iahs.info/Members-Area/My-Account.do We will hold your personal information on our systems for as long as is necessary for the purposes provided, as long as you wish to remain as a member.

Unsubscribing and your right to be forgotten

If you no longer wish to receive communications from us, your options are as follows:

    1. You can opt-out of communications using the ‘If you do not wish to receive news emails from IAHS, please uncheck this box’ option on the ‘My-Account’ page or by clicking the ‘unsubscribe’ on the bottom of an enews and completing the online form. We will retain your details but not send you communications.
    2. If you want to exercise your ‘right to be forgotten’, you should email the IAHS membership secretary (info@iahs.co.uk ) and ask for your account to be deleted entirely.

Does IAHS also store payment details?

If a member makes a payment online through an iahs.info web form, the payment is made through PayPal and IAHS Ltd do not have access to the banking information. If payment is made with credit card via telephone or fax communication then the card information is destroyed after the payment is authorised. Bank account data is not stored anywhere in the IAHS system.

Can others see my personal data?

Members only have access to their own individual data. IAHS Ltd employees can only view and personalize the personal data if they are involved directly in membership and confidentiality obligations as part of the employment contract prevent employees from using this information other than for the purpose of their employment.

Third-party use of IAHS member data

We do not sell any personal information to any third parties. If a member is from a country listed as Financially Disadvantaged (https://iahs.info/Members-Area/Disadvantaged-countries.do) then their details are made available to Taylor & Francis to enable free access to an online subscription to Hydrological Sciences Journal and they have an obligation to IAHS to only use the data for the purpose for which it was transferred.

As managers of the iahs.info website, the staff at Samui directly involved in the IAHS account have access to the personal data for the purpose of support and act as a data processor with an obligation to ensure that the data is as safe as possible.
